PF3 Acceptance Information

Congratulations again on your acceptance the 2018 Philly Farm and Food Fest (PF3), presented by Fair Food.  We are looking forward to hosting you at the Navy Yard this year! 

Please review the information below and then proceed to the Payment Section at the bottom of the page. Credit card payment is preferred. No cash payments please. Please note important payment deadlines:

  • To receive the early registration discount please process your payment no later than July 31, 2018

  • Registration fees increase by 15% August 1, 2018

  • All payments are due by September 30, 2018

By submitting payment for PF3 you agree to comply with all PF3 Rules and Regulations. Any vendor / exhibitor found in violation of any of the rules and/or regulations, will be asked to leave the event, and no refund will be given.

  • Information on Space Assignments

    • Your space assignment, and your scheduled arrival time, will be emailed to you by Roberts Group in early October.

    • You will be given detailed instructions on arrival time - no one will be allowed to enter the festival area prior to their assigned arrival time.

    • You will be permitted to enter the festival area at your assigned time slot. You are expected to unload your vehicle, and then immediately move your vehicle to the designated exhibitor parking area before setting up your booth.


PF3 Rules and Regulations

  • PF3 is a rain or shine event - no refunds will be given.

  • There will be no refund to vendors / exhibitors for cancellations under any circumstance.

  • It is the vendor / exhibitor's responsibility to comply with all federal, state, and local laws, rules, and regulations and ordinances.

  • All vendors / exhibitors activities must be consistent with what was described on their application.

  • Only one vendor is allowed per booth unless approved by PF3 organizers.

  • In order to sell goods at Fest you will need a Commercial Activity License. There is no charge for this license.

  • Sampling and selling of food items requires the proper permit from the Philadelphia Health Department including an inspection the day of PF3 by the Department of Health. Use this link to access the Health Department Special Event VENDOR Application. You will be instructed by Roberts Group to forward a copy of this application to them.

  • Sampling is allowed. Please comply with all of the sampling guidelines set forth by the city of Philadelphia.

  • Onsite food preparation is not allowed without the applicable permit.

  • Electricity is an additional fee and is available only to those who registered and paid for electrical service at the time of registration.

  • Each booth space is 10' x 10' (10’x20’ for produce farmers) and includes one 8’ table. Vendors are responsible for their entire booth set-up. All set-up must be within the allotted space.

  • All vendors / exhibitors are required to have a tented canopy.

    • Canopies must be weighted with 25# weights per canopy leg, securely affixed to the base of the canopy legs.

    • Weights cannot present a tripping hazard.

    • Absolutely no staking of canopies is allowed.

    • All booths must display signage with the name of the business.

    • You are to contain your display to your 10'x10' booth space, and are not allowed to spill out onto the walking path or adjacent spaces.

  • All exhibitors sampling food must provide their own hand washing station consistent with the City of Philadelphia’s Public Health Department’s requirements.

  • All retail items must post prices. Items not approved for sale at the festival are not allowed to be advertised or displayed.

  • PF3 organizers have the right to refuse the sale of any item deemed inappropriate for the event.

  • A knowledgeable representative must be present at your booth at all times.

  • All vendors / exhibitors are expected to act in a professional manner. Behavior inconsistent with a family-based, community event will be grounds for dismissal from the festival without refund.

  • Exhibitors are not allowed to use tobacco of any form.

  • Exhibitors are asked not to consume alcoholic beverages.

  • No animals are allowed without pre-approval from event organizers.

  • No vendor is allowed to break-down their booth prior to 4PM.  

  • All vendors / exhibitors must remove their own trash. Booth space must be free of all trash and debris.


Payment Information / Terms of Participation

  • Please Note: Your credit card payment is made directly to Fair Food.

  • By submitting payment for the festival you confirm that you will hold harmless and indemnify, Fair Food, Philadelphia Navy Yard, Robert’s Group, Inc and Growing Roots Partners, LLC from any responsibility for any claims, demands, suits, damage, injury, or loss.

  • Growing Roots Partners, LLC and Fair Food and Robert’s Group, Inc do not assume any responsibility to ensure the safety of vendor's / exhibitor's property from damage, theft, fire, malicious mischief, accident, wind, rain, or other. The vendor / exhibitor is responsible for protecting their own property at all times during the festival and obtaining the appropriate liability insurance to protect their business.

  • Your registration payment for PF3 acknowledges that you accept the 2018 PF3 Rules and Regulations and Terms of Participation.
